Eligibility & Making Changes

Eligibility

If you’re a full-time U.S. employee working 30 hours or more per week, you and your eligible dependents may enroll in benefits. Coverage will begin on the first day of the month following your date of hire. Temporary and contract employees are not eligible for benefits.

Eligible dependents include:

  • Your legal spouse or your domestic partner (a domestic partner affidavit is required)
  • Your children up to age 26
  • Your children of any age, if incapable of self-support due to a mental or physical disability

What to Know About Domestic Partner Coverage

  • To enroll your domestic partner and/or their children on your plan(s), you must complete a Declaration of Domestic Partnership affidavit and return it to the benefits department.
  • The IRS considers the employer-paid portion of your domestic partner’s health coverage to be a taxable benefit that must be included in your gross income. This means that amount that Wilbur-Ellis pays toward your domestic partner’s benefit premiums will appear as taxable (imputed) income on your paycheck.

Making Changes

The choices you make when you first become eligible are in effect for the remainder of the plan year. Once you are enrolled, you must wait until the next open enrollment period to change your benefits or add/remove coverage for dependents, unless you have a qualified change in family status as defined by the IRS.

Examples include, but are not limited to, the following:

  • Marriage, divorce, legal separation, or dissolution of domestic partnership
  • Birth or adoption of a child
  • Change in your work status that affects your benefits
  • Change in eligibility for Medicaid or Medicare

Note: You have 30 days from the life event date to make changes to your coverage. 

To Complete Your Benefits Change

Please submit documents within 30 days of the Qualified Life Event in Workday.

  1. Submitting a Qualifying Life Event Change Request
  2. Proof of relationship if adding a dependent (ex: marriage license, birth certificate)
  3. Proof that you experienced a corresponding qualifying life event within the past 30 days. Please review the list of Qualifying Life Events below for the proof needed for your qualifying life event.

No additional changes can be made after the 30-day deadline. If you miss the 30-day window, you will not be able to change your Wilbur-Ellis coverage until Open Enrollment or if you experience another qualifying life event.

Benefit changes are always prospective, taking effect the first of the month following the receipt and approval of all required documentation. Avoid double coverage or a lapse in coverage by starting the process as soon as possible. It may take time for you to obtain all the required documentation.

There are no mid-month or retroactive changes in coverage or premiums due (except for the birth or adoption of a child). Employees are responsible for paying the monthly premiums for every month they are enrolled in Wilbur-Ellis medical, dental, vision, or other coverage.

Example 1: My spouse resigned from their job, and their coverage ended on 1/30/26. I submitted my paperwork to benefits on 1/27/26. However, the Wilbur-Ellis benefits team still needed documentation showing proof of loss. My spouse’s former employer did not supply the proof of loss until 2/6/26. Because all required documentation was not submitted until 2/6/26, my spouse’s coverage with Wilbur-Ellis will begin on 3/1/26. My spouse will need to enroll in COBRA coverage offered from their former job, if they need coverage for February.

Example 2: My spouse resigned from their job and their coverage ended 1/30/26. I submitted my paperwork to benefits 1/16/26. However, the Wilbur-Ellis benefits team still needed documentation showing proof of loss. My spouse’s former employer did not supply the proof of loss until 1/27/26. Because all required documentation was submitted in January, my spouse’s coverage with Wilbur-Ellis will begin on 2/1/26. However, I may have missed the payroll cutoff, so my new employee + spouse premiums may not be reflected on my first February paycheck. I may have double deductions on my next paycheck. In addition, my spouse may not receive their medical insurance card in the mail before 2/1/26.

Example 3: My spouse gained new coverage from a new job and their coverage began on 2/15/26. I submitted my paperwork to benefits 3/8/26. Because all required documentation was submitted in March, my spouse’s coverage with Wilbur-Ellis will end 4/1/26. My new employee-only premium will be reflected on my paychecks beginning in April. I will not receive any refunds for my spouse’s February and March coverage.

If you are changing your benefits outside of Open Enrollment, all changes must be on account of and consistent with your qualifying life event. You can only make corresponding changes to the plans the affected individual gained or lost within 30 days.

If the new coverage started or coverage ended more than 30 days, ago, you cannot make changes. All changes are prospective only (except for the birth or adoption of a child), so start the process early to avoid double coverage or lapse in coverage.

Employees are responsible for paying the monthly premiums for every month they are enrolled in Wilbur-Ellis medical, dental, vision or other coverage.

Example 1: As a result of my spouse ending employment, I lost medical and vision coverage through my spouse’s employer. I can add medical and vision coverage with Wilbur-Ellis. However, I cannot add dental coverage since I did not lose dental coverage.

Example 2: My child receives a job with benefits and enrolled in medical coverage. I can drop my child from medical only. I cannot drop them from dental or vision since they did not gain new dental or vision coverage. I cannot drop my spouse or other children from coverage since they did not gain new coverage.

Check your Wilbur-Ellis email regularly to ensure your request has been approved and processed. You should also review your benefit summary in Workday to review that the changes were correctly completed (you’ll need to enter the coverage effective date to see future changes). In addition, you should review your paystub to ensure your deductions from your paycheck are accurate.

You must submit all required documentation within 30 days of the event. Please review the list of Qualifying Life Events below for more information.

Qualifying Life Events

A new legal marriage or a new common-law marriage are approved qualifying life events to make changes to your benefits. Please see important information below.

  • However, we encourage you to start the process as soon as possible. For a change to be approved, all required documentation must be submitted before day 30.
  • No additional changes can be made after the 30-day deadline. If you miss the 30-day window, you will not be able to change your coverage until Open Enrollment or if you experience another qualifying life event. There are NO exceptions.

Required Documentation

d.  Date coverage Began

e.  Reason for Enrollment (IE: Marriage)

  • Can drop coverage for yourself or dependents that gained corresponding new employer coverage.
  • Example: As a result of marriage, I enrolled in my spouse’s medical and vision coverage through their employer. I can drop my medical and vision coverage with Wilbur-Ellis. However, I cannot drop my dental, since I did not enroll in my new spouse’s dental coverage.

Allowable Supplemental Life Changes

  • You can add or increase your employee or child supplemental life coverage. However, you must submit an Evidence of Insurability Form and be approved by Unum for the coverage.
  • You can drop or decrease employee or child supplemental life coverage. Note, you can decrease or drop voluntary life coverages at any time.
  • You can enroll your spouse in spouse life coverage, at any level.

Allowable Voluntary Benefits Changes (Critical Illness, Accident, Hospital)

  • You can drop or decrease coverage. Note, you can drop or decrease voluntary benefits at any time.
  • You can enroll your spouse in coverage.
  • If you are enrolling your spouse, you can enroll for the first time.

Allowable Flexible Spending Account Changes

  • Can enroll in the HCFSA or increase elections.
  • Can change DCFSA elections if daycare needs change as a result of the marriage.

Other Important Information

  • You may want to change your beneficiaries for your Life insurance, 401k, and HSA.
  • Update all contact information in Workday. Update W4 and Direct Deposit in Workday. After your name is legally changed with the social security administration, update your name with your P&C Generalist or Business Partner.

Note: No additional changes can be made after the 30-day deadline. If you miss the 30-day window, you will not be able to change your Wilbur-Ellis coverage until Open Enrollment or if you experience another qualifying life event.

The birth of a child or a legal adoption are qualifying event to make changes to your benefits. Your Newborn is NOT automatically added to your coverage. You MUST take action. Please see important information below.

Deadline

  • However, we encourage you to start the process as soon as possible. For a change to be approved, all required documentation must be submitted before day 30.

d.  Date coverage Began

e.  Reason for Enrollment (IE: birth of baby)

Date Coverage Begins or Ends

  • Newborns or newly adopted children will be added to coverage retroactively back to the date of birth or adoption.
  • Any additional coverage changes take effect the first of the following month after the approval of your status change.
  • We encourage you to start the process as soon as possible to avoid gaps in coverage and double payroll deductions.
  • Employees are responsible to pay the monthly premiums for every month they are enrolled in Wilbur-Ellis medical, dental, vision, or other coverage.

Allowable Health Insurance Changes

  • An employee can add their new child, and any new or previous dependents to Medical, Dental, or Vision coverage.
  • If you are enrolling your new child, you can enroll for the first time.
  • Can drop coverage for yourself or dependents that gained corresponding new employer coverage.
  • Example: As a result of a birth of child, my newborn baby and I enrolled in my spouse’s medical and vision coverage through their employer. I can drop my medical and vision coverage with Wilbur-Ellis. However, I cannot drop my dental since I did not enroll in my spouse’s dental coverage.

Allowable Supplemental Life Changes

  • You can add or increase your employee or spouse supplemental life coverage. However, you must submit an Evidence of Insurability Form and be approved by Unum for the coverage.
  • You can drop or decrease employee or spouse supplemental life coverage. Note, you can decrease or drop voluntary life coverages at any time.
  • You can enroll your newborn in child life coverage.

Allowable Voluntary Benefits Changes (Critical Illness, Accident, Hospital)

  • You can drop or decrease coverage. Note, you can drop or decrease voluntary benefits at any time.
  • You can enroll your child in coverage.
  • If you are enrolling your child, you can enroll for the first time.

Allowable Flexible Spending Account Changes

  • Can enroll in the HCFSA or increase elections.
  • Can change DCFSA elections if daycare needs change as a result of the birth or adoption.

Other Important Information

Please see the below tips, that may or may not be applicable to you.

  • Under state laws, your baby is automatically covered by both parents plan for the first 31 one days. You will need to complete the above steps to enroll the baby beyond the initial 31 days.
  • If you are enrolled in the PPO-HSA plan at the employee only level, this plan has a non-embedded deductible. Therefore, you will move to the Family Deductible/Out of Pocket Maximum amounts at time of birth, regardless of if you are adding baby to Wilbur-Ellis coverage.
  • We do not need the newborn’s social security number to add them to coverage. However, once you receive it, you are required to provide this information.
  • You may want to make changes to your HSA contributions.
  • You may want to change your beneficiaries for your Life Insurance, 401k, and HSA.

Note: No additional changes can be made after the 30-day deadline. If you miss the 30-day window, you will not be able to change your Wilbur-Ellis coverage until Open Enrollment or if you experience another qualifying life event.

A divorce or Legal Separation are qualifying events to make changes to your benefits. You MUST take action to remove ineligible dependents. Please see important information below.

Deadline

  • You have 30 days from your date of divorce or legal separation to make changes to your benefits.
  • However, we encourage you to start the process as soon as possible. For a change to be approved, all required documentation must be submitted before day 30.
  • In the event of a divorce, you MUST remove your former spouse and former stepchildren from coverage within 30 days. Your former spouse will be issued COBRA and can enroll in COBRA within 60 days.

Required Documentation

3.  Address of your former spouse to issue COBRA paperwork

c.  Type of coverage enrolled in (Medical, Dental, Vision)

d.  Date coverage ended

e.  Reason for covering ending (IE: Divorce/Legal Separation)

Date Coverage Begins or Ends

  • If the event is a divorce, you MUST terminate coverage for former spouse and former stepchildren.
  • For a legal separation, can optionally drop coverage for former spouse and stepchildren with proof of new coverage.
  • Can add coverage for yourself and/or children that lost corresponding employer coverage as a result of the divorce.
  • Example: As a result of a divorce, I lost medical and vision coverage through my former spouse’s employer. I can add medical and vision coverage with Wilbur-Ellis. However, because, I was not enrolled in Dental coverage with my former spouse’s employer, I can not enroll in Dental coverage with Wilbur-Ellis.

Allowable Supplemental Life Changes

  • You can add or increase your employee or child supplemental life coverage. However, you must submit an Evidence of Insurability Form and be approved by Unum for the coverage.
  • You can drop or decrease employee or child supplemental life coverage. Note, you can decrease or drop voluntary life coverages at any time.
  • You are required to cancel spouse life coverage.

Allowable Voluntary Benefits Changes (Critical Illness, Accident, Hospital)

  • You can drop or decrease coverage. Note, you can drop or decrease voluntary benefits at any time.
  • You are required to drop coverage for your former spouse. You can add coverage if you have a loss of like coverage from your former spouse’s employer.

Allowable Flexible Spending Account Changes

  • Can enroll in the HCFSA or increase elections.
  • Can change DCFSA elections if daycare needs change as a result of the divorce.

Other Important Information

  • Please see the below tips, that may or may not be applicable to you.
  • You may want to make changes to your HSA contributions. You may want to change your beneficiaries for your Life Insurance, 401(k), and HSA.

  • If there is a Qualified Domestic Relations Order (QDRO) for your Pension or 401(k) they must be submitted within 90 days to the appropriate vendor.
  • We will need your former spouse’s mailing address, as they will be issued COBRA. Your former spouse has 60 days to enroll in coverage through COBRA.

Note: No additional changes can be made after the 30-day deadline. If you miss the 30-day window, you will not be able to change your Wilbur-Ellis coverage until Open Enrollment or if you experience another qualifying life event.

If your spouse or dependent child has a job change or becomes newly eligible for employer coverage, this is an event where you can make changes to your benefits. Please see important information below.

Deadline

  • You have 30 days from the date new coverage begins to make changes to your benefits.
  • However, we encourage you to start the process as soon as possible. For a change to be approved, all required documentation must be submitted before day 30.

  • We encourage you to start the process as soon as possible to avoid gaps in coverage and double payroll deductions. We cannot add or drop coverage retroactively.
  • Employees are responsible to pay the monthly premiums for every month they are enrolled in Wilbur-Ellis medical, dental, vision, or other coverage.

  • Can drop coverage for yourself or dependents that gained corresponding new employer coverage.
  • Example: As a result of my spouse obtaining a new job, I enrolled in my spouse’s medical and vision coverage through their employer. I can drop my medical and vision coverage with Wilbur-Ellis. However, I cannot drop my dental since I did not enroll in my new spouse’s dental coverage.

 If your spouse or dependent children (under age 26) have a job change or lose eligibility for employer coverage, this is an event where you can make changes to your benefits. Please see important information below.

Deadline

  • However, we encourage you to start the process as soon as possible. For a change to be approved, all required documentation must be submitted before day 30.

NOTE: Be Cautious of Employer Paid COBRA! Once your dependent enrolls in COBRA coverage through their previous employer’s plan, you must wait until Open Enrollment or until COBRA has been exhausted (generally 18 months) before you can enroll in Wilbur-Ellis’s plans. If the previous employer has agreed to pay or subsidize the cost of COBRA coverage for a period, when those payments end, this is NOT an approved status change to enroll in Wilbur-Ellis’s plan.

The Wilbur-Ellis’ medical, dental, vision, and child life insurance plans allow coverage for dependent children through the last day of the month in which they turn 26. Coverage will be terminated automatically and a COBRA notice, allowing that dependent to elect continued benefits for a period, will be sent to the address we have on file. This notice will come from the Wilbur-Ellis’ 3rd party COBRA administrator, currently WEX.

If you are an employee turning 26, and wish to add coverage with Wilbur-Ellis, please see important information below.

Deadline

You have 30 days from the date you lose coverage due to turning 26 to make changes to your benefits.

However, we encourage you to start the process as soon as possible. For a change to be approved, all required documentation must be submitted before day 30.

  • We encourage you to start the process as soon as possible to avoid gaps in coverage and double payroll deductions. We cannot add or drop coverage retroactively.

When your spouse or children have an employer’s Open Enrollment that is different than Wilbur-Ellis’s, these are approved qualifying life events to make corresponding changes to your benefits. Please see important information below.

  • Example: During my spouse’s Open Enrollment, I enrolled in my medical and vision coverage. through my spouse’s employer. I can drop my medical and vision coverage with Wilbur-Ellis. However, I cannot drop my dental, since I did not enroll in my spouse’s dental coverage.

Allowable Supplemental Life Changes

  • You can add or increase your employee, child, or spouse supplemental life coverage. However, you must submit an Evidence of Insurability Form and be approved by Unum for the coverage.
  • You can drop or decrease employee, spouse, or child supplemental life coverage. Note, you can decrease or drop voluntary life coverages at any time.

Allowable Voluntary Benefits Changes (Critical Illness, Accident, Hospital)

  • You can drop or decrease coverage. Note, you can drop or decrease voluntary benefits at any time.
  • You can add coverage for yourself if you have a loss of like coverage.

Becoming Medicare eligible and enrolling in Medicare Part B is an approved qualifying life event to make changes to your benefits. Please see important information below.

You are not required to enroll in Medicare. You can remain covered under the Wilbur-Ellis’ medical plan until you end your employment. This option may be less expensive.

  • The above list is not all encompassing. There may be other events that allow a change in benefits. Some examples that may qualify include:
  • Significant change in the cost or benefits under a spouse or child’s employer plan. A court order, judgment, or decree requiring you to enroll dependents in coverage.
  • The exhaustion of COBRA coverage after 18, 29, or 36 months of continuation coverage. Losing an employer subsidy for COBRA premiums is not an allowable status change event.
  • Death of a spouse or child.
  • Spouse or dependent child’s employer plan is eliminated.
