If you’re a full-time U.S. employee working 30 hours or more per week, you and your eligible dependents may enroll in benefits. Coverage will begin on the first day of the month following your date of hire. Temporary and contract employees are not eligible for benefits.

The choices you make when you first become eligible are in effect for the remainder of the plan year. Once you are enrolled, you must wait until the next open enrollment period to change your benefits or add/remove coverage for dependents, unless you have a qualified change in family status as defined by the IRS.

Benefit changes are always prospective, taking effect the first of the month following the receipt and approval of all required documentation. Avoid double coverage or a lapse in coverage by starting the process as soon as possible. It may take time for you to obtain all the required documentation.
There are no mid-month or retroactive changes in coverage or premiums due (except for the birth or adoption of a child). Employees are responsible for paying the monthly premiums for every month they are enrolled in Wilbur-Ellis medical, dental, vision, or other coverage.
Example 1: My spouse resigned from their job, and their coverage ended on 1/30/26. I submitted my paperwork to benefits on 1/27/26. However, the Wilbur-Ellis benefits team still needed documentation showing proof of loss. My spouse’s former employer did not supply the proof of loss until 2/6/26. Because all required documentation was not submitted until 2/6/26, my spouse’s coverage with Wilbur-Ellis will begin on 3/1/26. My spouse will need to enroll in COBRA coverage offered from their former job, if they need coverage for February.
Example 2: My spouse resigned from their job and their coverage ended 1/30/26. I submitted my paperwork to benefits 1/16/26. However, the Wilbur-Ellis benefits team still needed documentation showing proof of loss. My spouse’s former employer did not supply the proof of loss until 1/27/26. Because all required documentation was submitted in January, my spouse’s coverage with Wilbur-Ellis will begin on 2/1/26. However, I may have missed the payroll cutoff, so my new employee + spouse premiums may not be reflected on my first February paycheck. I may have double deductions on my next paycheck. In addition, my spouse may not receive their medical insurance card in the mail before 2/1/26.
Example 3: My spouse gained new coverage from a new job and their coverage began on 2/15/26. I submitted my paperwork to benefits 3/8/26. Because all required documentation was submitted in March, my spouse’s coverage with Wilbur-Ellis will end 4/1/26. My new employee-only premium will be reflected on my paychecks beginning in April. I will not receive any refunds for my spouse’s February and March coverage.
If you are changing your benefits outside of Open Enrollment, all changes must be on account of and consistent with your qualifying life event. You can only make corresponding changes to the plans the affected individual gained or lost within 30 days.
If the new coverage started or coverage ended more than 30 days, ago, you cannot make changes. All changes are prospective only (except for the birth or adoption of a child), so start the process early to avoid double coverage or lapse in coverage.
Employees are responsible for paying the monthly premiums for every month they are enrolled in Wilbur-Ellis medical, dental, vision or other coverage.
Example 1: As a result of my spouse ending employment, I lost medical and vision coverage through my spouse’s employer. I can add medical and vision coverage with Wilbur-Ellis. However, I cannot add dental coverage since I did not lose dental coverage.
Example 2: My child receives a job with benefits and enrolled in medical coverage. I can drop my child from medical only. I cannot drop them from dental or vision since they did not gain new dental or vision coverage. I cannot drop my spouse or other children from coverage since they did not gain new coverage.
Check your Wilbur-Ellis email regularly to ensure your request has been approved and processed. You should also review your benefit summary in Workday to review that the changes were correctly completed (you’ll need to enter the coverage effective date to see future changes). In addition, you should review your paystub to ensure your deductions from your paycheck are accurate.
You must submit all required documentation within 30 days of the event. Please review the list of Qualifying Life Events below for more information.
No additional changes can be made after the 30-day deadline. If you miss the 30-day window, you will not be able to change your coverage until Open Enrollment or if you experience another qualifying life event. There are NO exceptions.
